About this role

This is a temporary Compliance Administrator position in Leeds, LS2 7AR, working 40 hours per week from 8:00am to 5:00pm. The role provides administrative and operational support to the Compliance Management Team, helping maintain statutory, contractual and operational compliance to audit-ready standards. Key responsibilities include processing and reviewing service, maintenance and completion reports, raising, allocating and managing reactive maintenance jobs through the CAFM/IFM system, and reviewing, verifying and uploading compliance documentation and supporting evidence. The postholder will also maintain accurate compliance trackers, records and databases, working closely with engineers, subcontractors, operational teams and management to ensure SLAs are consistently met.

Job Purpose


We are seeking a highly organised and detail-focused Compliance Administrator to provide administrative and operational support to the Compliance Management Team.
The successful candidate will assist in maintaining statutory, contractual and operational compliance, ensuring that records, documentation and supporting evidence are accurate, up to date and maintained to audit-ready standards.
The role will involve working closely with engineers, subcontractors, operational teams and management to ensure compliance requirements and service-level agreements (SLAs) are consistently met.



Key Responsibilities


  • Process and review service, maintenance and completion reports.

  • Raise, allocate and manage reactive maintenance jobs through the CAFM/IFM system.

  • Review, verify and upload compliance documentation and supporting evidence.

  • Maintain accurate compliance trackers, records and databases.

  • Ensure documentation is complete, correctly recorded and readily available for audit purposes.

  • Monitor planned and reactive maintenance activities against contractual and SLA requirements.

  • Identify outstanding actions, documentation and compliance requirements and follow these through to completion.

  • Liaise with engineers and subcontractors to obtain required compliance documentation and evidence.

  • Support the Compliance Management Team with the preparation of compliance reports, KPI information and audit packs.

  • Maintain accurate electronic records and ensure information is stored in accordance with company procedures.

  • Assist with monitoring compliance performance and highlighting overdue or outstanding actions.

  • Provide general administrative and coordination support to the Compliance Management Team.

  • Carry out any other reasonable administrative duties required to support the effective delivery of the compliance function.


Key Skills and Experience


The ideal candidate will have:


  • Previous experience in an administrative, compliance, facilities management or operational support role.

  • Excellent attention to detail and a methodical approach to record keeping.

  • Strong organisational skills and the ability to manage multiple priorities and deadlines.

  • Good IT skills, including Microsoft Office and Excel.

  • Experience using CAFM, IFM, compliance or document management systems would be advantageous.

  • Strong written and verbal communication skills.

  • The ability to communicate effectively with engineers, subcontractors and internal stakeholders.

  • A proactive approach to following up outstanding information and actions.

  • The ability to work independently while also contributing effectively to a wider team.

  • Experience working to SLAs, contractual requirements or audit standards would be beneficial.
